Reservation & Guest Management
  • Simple Bed Management
    Easy and intuitive interface for selecting reservations, cancelling nights, extending reservations, and moving reservations around. Simply placing your mouse over any existing guest or any reservation immediately brings up a window of useful information relevant to them and their reservation.
  • Group Support
    New! Easy to manage functionality for group reservations, including check-ins, check-outs, payments, deposits, and much more. Reservations may easily be entered as single or grouped, and then changed at any time afterwards.
  • Guest History
    All transactions for each guest are stored and easily accessed. When entering new reservations, existing guests with matching details are automatically identified and their details can be easily entered. The entire history of changes to all parts of the guests reservation are saved.
  • Multiple currency support
    Take payments in as many currencies as you like, and automatically download current exchange rate information directly from the internet into HostelPower.
  • Deposits
    Deposit items may be set up, and guests may then pay a deposit amount for the item. The item must then be returned for the deposit to be refunded, before the guest is checked out. Common deposit items include keys, locks, towels, etc. Deposit amounts may be adjusted on a per-guests basis if needed.
  • Referrals & Booking Methods
    Referrals and Booking Methods are tracked separately. Referrals are how the guest heard about your hostel, and Booking Methods are actual methods of receiving bookings (ie, specific websites, telephone, walk-in, etc). New! Commissions can be tracked on referrals in various ways. Guests can pay the referral commission directly to the referral and the remaining balance to the hostel (for a online booking referral type situation), or guests can pay the entire amount to the referral and have the balance owed to the hostel, or the referral can be set up to be paid the commission later, and the guest pays the reservation amount directly to the hostel.
  • Coupons
    Coupons may be created to offer any kind of discount for guests. Multiple coupons can be given to guests, and prices are dynamically adjusted. Coupons can be assigned at any time. Coupons can be assigned fixed prices, fixed discounts, or percentage discounts. They can be assigned for any particular night, the check-in duration, the first so many nights, or applied after the guest has stayed for a certain number of nights.
Inventory Management
  • Inventory Purchase History
    HostelPower remembers each time you purchase inventory, and will allow you to go back and edit previous purchases in case of mistakes. It keeps track of inventory costs on a per-item basis.
  • Shift Switches
    When employees switch shifts, inventory may be counted and entered into HostelPower. If an entered amount doesn't match the amount reported by HostelPower, the user can enter a reason for the discrepancy, and alerts are sent to managers and administrators letting them know what happened.
  • Inventory Reports
    A variety of useful inventory management reports are available.
Point of Sale
  • Multiple Currency Support
    Items may be purchased using any of the currencies that your hostel is configured to accept.
  • Pay Now / Pay Later
    Guests that are checked in may choose to pay for items later. The balance simply gets added to their account.
  • Commissions
    Administrators may configure commission amounts for each sale item. When these items get sold, the commission can be assigned to the user that makes the sale. HostelPower keeps track of which commissions have or have not been paid, and allows for them to be paid at any time directly from any of the HostelPower accounts.
  • Adjust Pricing
    Occasionally it is useful to be able to offer spontaneous discounts on certain items. The price of any item may be adjusted on-the-fly, but a record of it is sent to managers & administrators through the Alert system.
Employee Management
  • Scheduling
    Shift schedules may be tracked and maintained by HostelPower, automatically keeping track of work hours.
  • Shift Switches
    Employees may optionally be required to count inventory during shift changes, and the HostelPower system alerts managers whenever a count doesn't match HostelPower's reported amount.
  • Time Clock
    HostelPower includes a standard Time Clock - users "clock in" when they arrive to work, and "clock out" when they leave.
